Policy
Please review our refund and cancellation policies before registering. These policies are applied consistently to all participants.
Classes, Camps & Clinics
Before Program Start
Full refund available, minus a $50 cancellation fee. Alternatively, a full credit (no fee) can be applied to a future program.
After Program Start
Refunds are not available once the program has begun. A pro-rated credit (no fee) for remaining sessions can be applied to a future program.
If an athlete misses a session, they are welcome to attend another session of the same program during that week, subject to availability.
Mini League & Minor League
Before Program Start
Full refund available, minus a $50 cancellation fee. Alternatively, a full credit (no fee) can be applied to a future program.
After Program Start
No refunds or credits will be issued. Once teams are formed, roster spots cannot be reassigned, and withdrawals directly impact the experience of remaining players.
Summer Bundle
All sales final
Summer Bundles are non-refundable and non-transferable once purchased. Unused or leftover hours at the end of the season cannot be returned, exchanged, or carried over to a later year.
Bought by mistake
If a bundle was purchased by accident, email us at hello@volleybox.ca within 24 hours of purchase for a full refund. After 24 hours the sale is final.
Who can use a bundle
Bundle hours can be shared between siblings in the same family account. They cannot be used for cousins, friends, or another family’s children.
Eligibility still applies
A bundle covers the cost of a camp, not the eligibility to attend it. Athletes can only sign up for camps that match their level and grade. Owning a bundle does not unlock programs an athlete would not otherwise qualify for.
Camp swaps
Specific camps allocated to a bundle can be swapped from the family dashboard until 72 hours before that camp starts. Inside the 72-hour window the camp is locked and cannot be changed.
Medical & Personal Circumstances
These policies apply regardless of the reason for withdrawal, including injury, illness, or family circumstances. We understand that unexpected situations arise, but because our programs are staffed and structured based on confirmed registrations, we are unable to make exceptions on a case-by-case basis.
Credits
All credits are valid for 12 months from the date of issue and can be applied toward any future Volleybox program.
Program Closures
Public Health or Safety Emergencies
If a program is suspended due to a public health directive or emergency (e.g., pandemic), participants will receive a pro-rated credit for remaining sessions. Credits can be applied to future Volleybox programs once activities are permitted to resume.
Cancellations Due to External Factors
If a session is canceled because of circumstances beyond our control (e.g., inclement weather, power outage, facility issues):
- Volleybox will make every effort to reschedule the missed session.
- If rescheduling is not possible, a pro-rated credit will be issued.
By completing registration, you acknowledge and agree to all of the above policies, which are applied consistently without exception.
Additional terms: Registration secures a roster spot, staffing, and program access for the full published session schedule; services are deemed rendered in accordance with that schedule regardless of attendance, and non-attendance at any or all sessions does not constitute cancellation and does not entitle the registrant to a refund or credit beyond the policies stated above. Cancellation requests are valid only when submitted in writing to hello@volleybox.ca and are effective on the date received. Attendance at all sessions is electronically recorded, including individual check-in timestamps, and these records, together with registration data, payment records, and written communications, constitute the authoritative record of services provided. By completing checkout you expressly authorize the charge to your payment method for the amount displayed and acknowledge these terms; charges appear on statements under the Volleybox name. Payment disputes or chargebacks initiated for charges consistent with this policy will be contested in full with the evidence described above. Account credits are issued to the purchasing family, are not transferable to any other family or individual, and expire twelve (12) months from issuance unless otherwise stated in writing. In the event a program is modified, rescheduled, or relocated, the remedies described in this policy are the sole remedies available. These terms are governed by the laws of British Columbia, Canada. If any provision of these terms is found unenforceable, the remaining provisions continue in full force.
